 Ongoing Full Time, 80 hours a fortnight with ADO

The Molecular Pathology Laboratory in the Department of Pathology is looking for an Administration Worker to join our small administration team which supports the molecular diagnostic services. The full-time position presents an exciting opportunity to gain invaluable experience in this rapidly growing field.


Suitable candidates will be highly motivated and self-driven, and have the ability to work effectively within a multidisciplinary team. Previous experience working in an accredited Diagnostic Molecular Pathology/Genetics laboratory and an demonstratable understanding of medical terminology would be an advantage.

Please Note: The Victorian Department of Health has recently announced a program of reforms across the public pathology system in Victoria. As part of these reforms, the pathology services from the Royal Melbourne Hospital, Peter MacCallum Cancer Centre, the Royal Women’s Hospital and the Royal Children’s Hospital will transition to a new separate public pathology entity. The new model for delivering public pathology services will present an exciting opportunity to improve the scope, scale and reach of pathology services and testing capability to all Victorians.


As this role is with Peter MacCallum Cancer Centre, the successful candidate for this role will be initially employed by Peter MacCallum Cancer Centre. Once the new public pathology entity is fully formed, which is anticipated to be in late 2024, this position and the successful candidate’s employment (including terms and conditions of employment) will transition to the new public pathology entity. Position Summary

To support the Molecular Pathology Laboratory to provide the highest quality of molecular services to the patients of Peter MacCallum Cancer Centre and its external clients through the provision of day to day administrative support to the department.  Including but not limited to: 

  • Input and extract of data and providing basic information and reports, from a number of clerical systems. 
  • Analysing situations and information to ensure information is shared clearly and accurately. (Discretion is limited and bound by existing system procedures and protocols. Outcomes are monitored by a supervisor or audited by a work system). 
  • Ensuring system content is factual, involving standard and predictable transactions.  
  • Working collaboratively and cooperatively with others, sharing a variety of tasks contributing to achievement of work area outcomes 
  • Providing induction training for other employees at this level. 
  • Maintaining a good understanding of hospital systems. 
  • Understanding hospital procedures, information requirements and protocols in order to communicate and provide support to members of the public.

Essential Requirements  
  • Demonstrable experience in MS Office products, Internet and Outlook

  • Appropriate skills in communication

1. Database entry of patient requests/information into pathology laboratory systems

  • Prompt and accurate data entry. Uses relevant pathology-related programs, packages and functions to keep track of and complete tasks effectively and efficiently

2. Sourcing and receipting of pathological specimens for testing from external laboratories

  • Accurate and timely request, follow up and distribution upon receipt of pathological materials

3. Screens incoming telephone calls and directs telephone enquiries

  • Ensures phones are covered at all times and refers calls appropriately

4. Maintenance of filing systems, general departmental and specimen slide filing

  • Accurate filing of records/slides to facilitate fast retrieval

5. Organise and send patient reports

  • Manage the printing, faxing and send out of patient reports as required

6. Other general duties

  • Take minutes of meetings and other events as required
  • Assist the staff in organising and coordinating meetings
  • Distribution of mail (including timesheets)
  • Organise documents for signoff

7. Prioritises work in response to departmental needs

  • All tasks completed within appropriate and specified time frames

8. Works as part of a team

  • Help other staff when required and be teamandndashoriented
